The Mission of Japan to NATO is seeking full-time local staff members for the General Affairs Section, the Security Policy Section and the Administrative Section for a temporary position of six months from mid-December 2024. The employment contract may be extended extended depending on the evaluation the service.1. Protocol/General Affairs Assistant
Job description
As a local staff member of the Protocol section, you will assist the Ambassador and the Deputy Chief of the Mission with various secretarial tasks and internal organization, including:
- Liaison and coordination, including phone calls, with external parties;
- Organization and coordination of receptions and other events;
- Carry out administrative procedures and paperwork;
- Simple research work;
- Various administrative tasks, as required by the Mission
- Valid work permit in Belgium;
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint);
- Business-level proficiency in English;
- Proficiency in French and Japanese (preferably at a business level);
- Excellent verbal and written communication skills;
- Precision and meticulousness in paperwork and equipment management;
- Willingness to undertake a variety of tasks
2. Research Assistant (Security Policy)
Job description
As a local staff member of the Security Section, you will assist diplomatic staff with various tasks related to our Mission to NATO, including:
- Researching specific areas as requested by the diplomatic staff;
- Assisting with fact-checking, proofreading, and editing of written materials;
- Attending meetings, taking notes, and writing summary reports of outside policy briefings, conferences, forums, and symposiums;
- Tracking English language news and data sources on NATO;
- Providing administrative support to the diplomatic staff;
- Providing support across departmental lines and for other fellows, upon request;
- Valid work permit in Belgium;
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint);
- Business-level proficiency in English;
- Familiarity with national security topics;
- Strong research, proofreading, editing, and organizational skills;
- Excellent verbal and written communication skills;
- Proven ability to work in a fast-paced environment, both independently and as part of a team
- Master’s degree in a field that allows the candidate to understand our research and analysis;
- Demonstrated interest and proficiency in defense and national security issues;
- Proficiency in French
3. Public Relations/General Affairs Assistant
Job description
As a local staff member of the Public Relations Section, you will assist with various tasks in the field of public relations, including:
- Cooperation with NATO in the field of public relations;
- Carry out public relations activities for the Mission of Japan to NATO;
- Liaison and coordination with external parties according to instructions from the diplomats and officials;
- Management of Mission of Japan to NATO website and social media;
- Management of various administrative procedures and documents;
- Carry out any other administrative task that would be required by the Mission
- Valid work permit in Belgium;
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint);
- Business-level proficiency in English;
- Proficiency in Japanese, as well as in French or Dutch (preferably business level);
- Excellent verbal and written communication skills;
- Accuracy and meticulousness in paperwork and equipment management;
- Willingness to undertake a variety of tasks
- Demonstrated interest and proficiency in defense and national security issues
4. Administrative Assistant
Job description
As a local administrative assistant, you will mainly assist with various administrative tasks instructed by diplomats and officials, including:
- Accounting;
- Human resources management;
- Official residence and office management;
- Carry out any other administrative tasks that would be required by the Mission
- Valid work permit in Belgium;
- Proficiency in Microsoft Office applications (Word, Excel, PowerPoint);
- Business-level proficiency in Japanese and French;
- Excellent verbal and written communication skills
Salaries and Working Hours (applied to all the positions)
- 2,500€~4,000€ gross per month depending on qualifications and experience
- Monday to Friday, full-time (in accordance with Belgian legislation): 38h/week
